Website Enquiries
When you contact us through this website, we use your name, email address, optional phone number, chosen service and message to respond to your enquiry. Please avoid including passwords, payment details or sensitive personal information in your message.
Where you ask us to take steps towards providing a service, the lawful basis is taking steps at your request before entering into a contract. For other business enquiries, we rely on our legitimate interest in responding to relevant communications, balanced against your rights. This form does not subscribe you to marketing.
The enquiry forms include an unchecked box asking you to acknowledge this Privacy Policy and how your details will be used to respond. This acknowledgement is separate from optional Analytics and Maps choices and does not give permission for marketing messages.
Where Your Enquiry Goes
The website sends your enquiry to our business email service over an encrypted, authenticated SMTP connection. It does not keep a separate database of enquiry messages. If a form needs correcting or sending fails, the details are returned in the page so you can try again; they are not saved by the application. Our website hosting and email providers process information to operate these services. Access to enquiries is restricted to people who need it to respond and manage the relationship.
We do not sell your information. Information may also be disclosed where necessary to meet a legal obligation.
Security and Essential Technical Information
Our hosting service may process connection and server information, such as IP addresses and request details, to deliver and secure the website. We rely on our legitimate interests in preventing misuse, protecting authorised access and maintaining a reliable service, balanced against your rights.
The application stores keyed hashes of IP addresses and, for sign-in protection, account identifiers to limit repeated attempts. These are pseudonymous security records, not anonymous information. They do not contain enquiry messages. Expired rate-limit records are removed on the next relevant rate-limit operation.
To prevent repeated enquiries, the application keeps a keyed submission fingerprint, random confirmation reference, processing status and expiry time. Pending records expire after ten minutes; accepted records expire after one hour. Expired submission records are removed on the next enquiry-record operation. The message itself is sent to our email service and is not stored in these records.
Editor accounts hold an email address and a password hash, not a readable password. Where enabled, an authenticator secret is encrypted and recovery codes are hashed. Necessary editor sessions require sign-in again after 30 minutes of inactivity or eight hours from sign-in. Access is limited to authorised people.
Optional Google Analytics
If you choose Analytics, we rely on your consent to load Google Analytics and use the resulting information to understand visits and improve this website. Its script and measurement requests stay blocked until you enable that separate choice. Google receives usage and technical device information. We do not send enquiry-field content as Analytics events, and Analytics is disabled on enquiry validation and confirmation pages. Google Signals and advertising personalisation are disabled in our website tag.
Google may process information outside the UK. Its processing is described in Google Privacy Policy. Analytics reporting retention and other account-level settings are controlled in our Google Analytics account.
You can withdraw consent in Cookie Settings. This stops further Analytics loading and removes accessible first-party Analytics cookies; it does not automatically erase previously collected information. Withdrawal is also a request for erasure of information we hold under that consent, subject to the applicable legal conditions and exceptions. We will assess the required erasure and notifications to relevant recipients. If you contact us, information that helps us identify the relevant records can support that process; you do not need to make a separate erasure request just because you withdrew consent. Where we cannot reasonably identify records, we will explain the limitation.
Optional Google Maps
We rely on your consent to load the optional Google Maps embed. It stays blocked until you enable Maps in Cookie Settings or choose to load the map. Your browser then connects to Google, which receives technical information, including your IP address, and may set cookies. Google may process information outside the UK. See Google Privacy Policy.
Withdraw permission in Cookie Settings to remove the embed and prevent new map requests on this website. This does not automatically erase information already processed or cookies on Google's own domains. We treat withdrawal as a request for erasure of information we hold under that consent, subject to the applicable legal conditions and exceptions, and assess required action and recipient notifications. Contact us if you need help identifying relevant records or exercising another right. You can also use browser and Google account privacy controls.
How Long Information Is Kept
Enquiries are held in our business email system for as long as needed to respond, manage any resulting relationship and meet relevant legal obligations. Retention depends on whether an enquiry becomes a customer project. Contact us for information about the retention period applicable to your enquiry.
Your privacy preference lasts 180 days on this device. Editor sessions expire after 30 minutes of inactivity or eight hours from sign-in. Enquiry rate-limit windows last ten minutes and sign-in windows last fifteen minutes; expired records are removed on the next relevant operation. Submission and confirmation records expire after ten minutes while pending or one hour after acceptance and are removed on the next enquiry-record operation.
The authorised editor can keep copied page, section or element content in browser storage for up to 24 hours of use. Expired copies cannot be pasted and are removed when accessed; signing out or opening sign-in clears them. A closed browser may retain the expired storage record until one of those actions. Private saved drafts, offline editing recovery and server backups follow their separate editing and recovery lifecycles.
Your Rights
Depending on the circumstances, you can request access to your personal information, correction, deletion, restriction of processing or a portable copy. You can object to processing based on legitimate interests and withdraw consent for optional features at any time. These rights have conditions and exceptions.
Contact info@hampshirewebdesign.net to make a request. We may need to verify your identity. We normally respond within one month, subject to the permitted extensions. You can complain to the Information Commissioner’s Office at Information Commissioner’s Office if you are concerned about our use of your information.
Links and Changes
Links to other websites lead to services with their own privacy policies. This notice covers this website and its enquiries; separate project or service arrangements may provide additional privacy information.
We update this notice when relevant processing changes. This version was reviewed on 14 October 2026.
Your Right to Object
You can object to processing based on legitimate interests for reasons relating to your particular situation. We must stop that processing unless we demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or the processing is needed for legal claims. You can object to direct marketing at any time. This enquiry form does not subscribe you to marketing.
Email info@hampshirewebdesign.net to exercise this right. You can withdraw consent to optional Analytics and Maps at any time using Cookie Settings.
